Fieldwork is a product of Fieldwork Systems Ltd ("Fieldwork Systems", "we", "us"). This policy explains how we collect, use, and protect information when you use Fieldwork or visit our website.

What we collect

When you use Fieldwork, we process the information necessary to operate the service on your behalf. This includes your account details (name, email, firm name), the intelligence content your firm ingests and generates, your ICP and client profile configurations, and usage data such as login timestamps and feature interactions.

How we use your data

Your data is used solely to deliver the Fieldwork service to your firm. We do not use your firm's intelligence content, client profiles, or generated outputs to train AI models, improve our algorithms, or for any purpose beyond operating your instance. We use anonymised, aggregated usage metrics to improve platform performance and reliability.

Data isolation

Each Fieldwork instance is isolated at the infrastructure level. Your data is never shared with, visible to, or aggregated with data from other firms using the platform.

Data hosting and jurisdiction

You choose your hosting jurisdiction (UK, EU, US, or Australia) at onboarding. All data processing, storage, and AI inference occurs within your chosen jurisdiction. Data does not leave that jurisdiction unless you explicitly configure cross-region distribution.

Third-party processors

We use a limited set of infrastructure providers to operate the service, including cloud hosting, email delivery, and AI inference. All processors are bound by data processing agreements and operate within your chosen jurisdiction where technically feasible. We do not sell, rent, or share your data with third parties for marketing or advertising purposes.

Data retention

Your data is retained for the duration of your subscription. Upon termination, we delete all firm data within 30 days unless a longer retention period is required by law or agreed in writing.

Your rights

Depending on your jurisdiction, you may have rights to access, correct, export, or delete your personal data. To exercise these rights, contact us at privacy@usefieldwork.io.

Cookies

Our marketing website uses only essential cookies required for site functionality. The Fieldwork application uses session cookies to maintain your authenticated session. We do not use tracking cookies, advertising pixels, or third-party analytics on either the website or the application.

Changes to this policy

We may update this policy from time to time. Material changes will be communicated to active subscribers via email at least 14 days before they take effect.

Terms of Service

These terms govern your use of Fieldwork, a strategic intelligence platform operated by Fieldwork Systems Ltd ("Fieldwork Systems", "we", "us"). By accessing or using Fieldwork, you agree to these terms.

The service

Fieldwork ingests intelligence from curated and user-configured sources, applies your firm's analytical framework, scores relevance against your client profiles, and generates deliverables in your firm's voice. We provide the platform; the intelligence outputs are produced for your firm's use and distribution.

Your account

You are responsible for maintaining the security of your account credentials and for all activity under your account. Each Fieldwork subscription is issued to a single firm entity. You may not share access credentials across firms or allow access by individuals outside your organisation without our prior written consent.

Acceptable use

You agree to use Fieldwork in accordance with applicable laws and regulations. You will not attempt to reverse-engineer, extract, or replicate the platform's proprietary systems. You will not use the service to generate content that is knowingly false, defamatory, or intended to mislead the recipients of your intelligence outputs.

Intellectual property

Fieldwork's platform, source code, design, and proprietary methodology remain the property of Fieldwork Systems. Intelligence outputs generated by Fieldwork on your behalf belong to your firm. Your firm's configuration data (positioning, methodology, tone of voice, client profiles) remains your property at all times.

Availability and support

We aim to maintain high availability but do not guarantee uninterrupted service. Scheduled maintenance windows will be communicated in advance. Support is available via email at support@usefieldwork.io.

Limitation of liability

Fieldwork generates intelligence outputs using AI and curated sources. While we work to ensure accuracy and quality, outputs should be reviewed by your team before distribution to clients. Fieldwork Systems is not liable for decisions made based on Fieldwork outputs, or for any indirect, consequential, or incidental damages arising from use of the service.

Termination

Either party may terminate the subscription with 30 days' written notice. Upon termination, we will provide a data export upon request and delete all firm data within 30 days, as described in our Privacy Policy.

Governing law

These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

Security

How we protect your firm's intelligence

Fieldwork handles sensitive client intelligence and advisory content. Security is not a feature we add on top; it is built into every layer of the platform.

Instance isolation

Each firm operates in a fully isolated environment. Your data, configurations, and generated outputs are never shared with or visible to other firms on the platform.

Jurisdiction control

You choose your data jurisdiction at onboarding: UK, EU, US, or Australia. All processing, storage, and inference stays within that jurisdiction.

Encryption

All data is encrypted in transit (TLS 1.3) and at rest (AES-256). API keys, credentials, and sensitive configuration values are stored in dedicated secrets management.

Access control

Role-based access control governs who within your firm can configure, approve, and distribute intelligence. All actions are logged with full audit trails.

AI data handling

Your content is never used to train or fine-tune AI models. Inference requests are processed in your jurisdiction and are not retained by upstream providers beyond the processing window.

Audit and compliance

Every significant action in Fieldwork is logged: who created, approved, edited, and sent each piece of intelligence, with timestamps. Export audit logs at any time for your compliance requirements.

Infrastructure

Fieldwork runs on enterprise-grade cloud infrastructure with automated backups, monitoring, and incident alerting. We conduct regular security reviews and are working towards SOC 2 Type II certification.

Responsible disclosure

If you discover a security vulnerability, please report it to security@usefieldwork.io. We take all reports seriously and will respond within 48 hours.
